# How to collect information from your guests

## Guest event questions let you collect what you need from each guest when they RSVP: a cookie flavor, a T-shirt size, dietary needs, an accessibility request, a team name or a photo for a slideshow. Answers come in per guest, before the event, so you can prepare without chasing the organizer.

**Why use guest event questions**

- **Each guest makes their own choice.** If every guest can pick a flavor, color or scent, a pick list gets each answer directly instead of the organizer collecting them by email.
- **You get what you need in time to prepare.** Allergies, sizes and accessibility needs arrive before kits ship or the session starts.
- **Fewer messages back and forth.** Questions you'd otherwise ask the organizer are answered up front, in a consistent format.
- **You decide what's required.** Make a question required when you can't run the event without the answer (a kit size), and optional when it's nice to have (a fun fact).

**How to add a question**

1. In the host portal, open **Account › Listings** and select the listing.
2. Choose **Guest event questions** in the left menu.
3. Select **+ Add Question**.
4. Type the question the way you'd ask a guest, for example "Which cookie flavor would you like?"
5. Pick a **Question Type** (see the seven types below). For pick lists, add each answer under **Answer options** with **+ Add option**.
6. Tick **Is an answer to this question required from the guest?** if you can't run the event without it.
7. Use the arrows or the drag handle to set the order guests see, and the trash icon to remove a question.
8. Select **Update** to save.

The Question Type menu lists all seven types:

**Which type should I use?**

| You want guests to… | Use |
| --- | --- |
| Pick one option from a fixed list (flavor, scent, size) | Single Option Pick List |
| Pick several options, with limits | Multi Option Pick List |
| Tick any of a few independent boxes, or none | Boolean Option |
| Answer one yes-or-no question | Boolean |
| Type a short answer | Single Line Text |
| Explain something in detail | Multi-line text |
| Send you a file or photo | Attachment |

Guests answer when they RSVP, and you'll see each guest's answers on the order's participant list.

The seven question types

### Single Line Text

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-3.png?width=1295&height=270&name=undefined-3.png)

**How it works:** guests type a short, one-line answer.

**Use it when** the answer is short and you can't predict it: a name for a certificate, a team name, a fun fact for an icebreaker.

**Examples:** "What name should go on your certificate?" · "Suggest a team name."

**Tip:** if there's a fixed set of answers (sizes, flavors), use a pick list instead so answers come back clean and countable.

### Multi-line text

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-4.png?width=1295&height=270&name=undefined-4.png)

**How it works:** guests type a longer answer in a larger box.

**Use it when** guests need room to explain: dietary restrictions, accessibility needs, anything you should know before the event.

**Examples:** "Please list any dietary restrictions so we can check substitutions." · "Is there anything we should know to make the event accessible for you?"

### Boolean

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-Oct-16-2026-12-44-18-0842-AM.png?width=1295&height=268&name=undefined-Oct-16-2026-12-44-18-0842-AM.png)

**How it works:** guests answer with a simple Yes or No.

**Use it when** there's one clear yes-or-no question, especially one you need answered (tick "required").

**Examples:** "Are you 21 or older?" (for alcohol kits) · "Will you join from the office with others?" · "Do you have a nut allergy?"

### Single Option Pick List (Dropdown)

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-Oct-16-2026-12-44-46-9105-AM.png?width=1295&height=491&name=undefined-Oct-16-2026-12-44-46-9105-AM.png)

**How it works:** guests choose exactly one answer from a dropdown you set up under **Answer options**. Each guest's answer is stored as a single value.

**Use it when** each guest picks one option from a fixed list. This is the most common choice for kits.

**Examples:** "Which cookie flavor would you like?" (Vanilla, Chocolate, Gingerbread) · "Choose your candle scent." · "T-shirt size?" (S, M, L, XL)

**Tip:** make it required when the choice changes what you ship, so every kit is packed correctly.

### Multi Option Pick List (Multiselect)

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-Oct-16-2026-12-44-36-6922-AM.png?width=1220&height=598&name=undefined-Oct-16-2026-12-44-36-6922-AM.png)

**How it works:** guests choose any number of answers from your list, within the **Min selections** and **Max selections** you set. Answers are stored as a list.

**Use it when** guests can pick more than one, and you want to set limits.

**Examples:** "Pick up to 3 toppings." (Max 3) · "Which topics interest you? Choose at least 2." (Min 2)

**Tip:** set Min to 1 if every guest must choose something; leave Max blank for no limit.

### Boolean Option

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-Oct-16-2026-12-45-11-0666-AM.png?width=1220&height=438&name=undefined-Oct-16-2026-12-45-11-0666-AM.png)

**How it works:** each answer you add shows as its own checkbox. Each one is stored separately as yes or no, there's no minimum or maximum, and guests can leave every box unticked.

**Use it when** you want a short list of independent opt-ins or acknowledgments, and "none" is a valid answer.

**Examples:** "I'm happy to appear in event photos" · "Send me the recipe card afterwards" · "I'll need a vegan kit"

**How it differs from Multiselect:** each checkbox is its own yes or no, which makes it easy to count (for example, how many vegan kits to pack). Use Multiselect when you need limits, and Boolean Option when each box stands alone.

### Attachment

![](https://help.bookelevent.com/hs-fs/hubfs/undefined-Oct-16-2026-12-45-23-8978-AM.png?width=1220&height=178&name=undefined-Oct-16-2026-12-45-23-8978-AM.png)

**How it works:** guests upload one PDF, JPG or PNG file, up to 10 MB. You can have one attachment question per listing.

**Use it when** you need a file from each guest.

**Examples:** "Upload a photo for the caricature drawing." · "Upload a baby photo for the guessing game." · "Upload your design for a custom print."

**Tip:** don't ask guests to upload sensitive documents such as IDs.

Required or optional?

Tick **Is an answer to this question required from the guest?** only when you can't run the event or pack the kit without the answer. Required questions must be answered before a guest can finish their RSVP, so too many of them can slow RSVPs down. Optional questions are better for nice-to-have details.

Tips for good questions

- **Ask one thing per question.** Split "Size and flavor?" into two questions.
- **Use pick lists for anything you'll count or pack.** Typed answers vary ("choc", "Chocolate!"), pick lists don't.
- **Put the most important question first,** using the arrows or drag handle.
- **Explain why you're asking** when it isn't obvious, for example "so we can check substitutions".
- **Keep it short.** Three or four questions is plenty for most events.
- **Select Update** after any change, or it won't save.

Common questions

**Where do I see guests' answers?** On the order's participant list in the host portal, next to each guest.

**Can I change questions after guests have answered?** Yes, but guests who already answered won't see new questions unless they RSVP again, so set questions up before the listing gets bookings where you can.

**Do organizers see the answers?** Guests answer when they RSVP; check with Elevent support if you need answers shared with the organizer.

**Need help?** Message Elevent host support from the host portal.
